Church Office Administrator

Part Time at-will, non-exempt position
Hours: 30 hours per week, Monday – Friday 8:30 AM – 3:00 PM

General Job Description

The Office Administrator will fulfill their duties with a welcoming servant attitude as well as a standard of excellence in all things. This position has responsibility for the day-to-day operations of the church office, will provide administrative support to three ministers, with assistance to all staff and church leadership.  This person will maintain the church calendar, church records, update social media and web posting as well as prepare weekly bulletins, newsletters, and general office correspondence.  The Office Administrator provides part-time support for the preschool events: carnival, resale, etc. and performs other general clerical tasks as assigned.   

Salary and Benefits

The wage for this position is $24,000 – $28,000 based on experience.  Two weeks paid vacation after 12 months employment.  Accrued sick leave based on hours worked.

Responsibilities and Relationships

  1. Relationships
    1. Reports to Senior Minister and Lay Personnel Committee
    2. Works with all staff members and Staff Parish Relations Committee
    3. Work with outside contractors necessary to maintain the office equipment
    4. Provide oversight to office volunteers
  2. Principle Functions:
    1. Be a welcoming and helpful presence to those persons or groups who call or visit the office of the church
    2. Prepare and publish weekly church bulletins and newsletter
    3. Prepare weekly PowerPoint for worship
    4. Prepare correspondence for Ministers and staff
    5. Create and post eye-catching digital banners for website, Facebook, Facebook Ads, Nextdoor website, and various emails
    6. Manage email and regular mail; sending mass mailings as needed in both formats
    7. Maintain and communicate church calendar events for all agencies on the campus
      1. Insure that all AV and set-ups are communicated to custodial personnel
    8. Order supplies and maintain them in an orderly fashion with adherence to annual budget
    9. Oversee and manage the office area and work spaces of the church
    10. Maintain accurate records and files, both digital and paper, as needed for the work of the church, including church mailings and email lists
    11. Assist the ministers and other staff needed in their work in serving the church
    12. Provide general administrative assistance to committee chairpersons and congregation as needed
    13. Recruit and equip volunteers for office assistance as needed
    14. Coordinate updating and maintenance of office equipment
    15. Other duties as assigned by the ministers
    16. Regular attendance is required.

Qualifications

  1. Excellent knowledge of general business practices and procedures as well as:
    1. Superlative computer skills with an emphasis on Microsoft, Publisher, PowerPoint, and various Social Media channels. WordPress and Church Windows experience a plus.
    2. Good writing, editing, and desktop publishing skills
    3. Experience in use of social media for publicity and communication.
    4. Critical thinking, judgment and decision making skills essential
